1. Introduction

This Privacy Policy describes how ClassoNix ("we", "us", or "our") handles information related to your use of the ClassoNix school management application ("the Service"). ClassoNix is a desktop application built with Electron that runs on Windows computers and works both online and offline.

By installing and using ClassoNix, you agree to the practices described in this Privacy Policy. If you do not agree with these practices, please do not use the Service.

2. Data We Collect

ClassoNix is designed with a local-first architecture. The majority of your school's data — student records, staff records, attendance, fees, payroll, finance and inventory — is stored locally on your computer or your own server. We do not have access to this data.

Data stored locally (on your device):

• Student, teacher and staff personal records (names, contact details, photos)
• Attendance and fee records
• Payroll, loan and advance records
• Finance, income and expense records
• Inventory and stock data
• Branch and user account configurations
• Audit trail logs

Data we may collect (with your consent):

• Account information: Name, email address, and phone number provided during registration or trial signup.
• License information: License key, activation details, and subscription status.
• Technical data: Application version, operating system version, and crash reports (if you choose to share them).
• Communication data: Messages you send us via email, WhatsApp, or our contact forms.

3. How We Use Your Data

We use the limited data we collect for the following purposes:

• To activate and manage your license or subscription
• To provide customer support and respond to your inquiries
• To send you important updates about the application (security patches, new features)
• To verify your subscription status and prevent unauthorized use
• To improve our product based on aggregated, anonymized usage patterns
• To comply with legal obligations

We never sell your data to third parties. We never use your school's operational data (students, fees, payroll, etc.) for marketing or analytics purposes — that data lives on your machine, not ours.

4. Data Storage & Security

ClassoNix uses a local-first storage model. Your school's data is stored in a local database on your computer or a server you control. This means:

• Local storage: All school records are stored on your hardware. We do not host or have access to your operational data.
• Role-based access control: Within the application, each user sees only what their assigned role permits. Admins control who has access to what.
• Audit trails: Every record change is logged — who changed what, and when. This creates a complete history of all modifications.
• School-level data isolation: For multi-branch deployments, each branch's data is completely separate and segregated.
• Offline operation: The application works without an internet connection. Your data does not need to sync to any cloud server for day-to-day operations.

You are responsible for maintaining the physical security of the device(s) running ClassoNix. We strongly recommend regular local backups and securing your device with appropriate access controls.

5. Data Sharing

We do not share your school's operational data with any third party because we do not have access to it. The limited account and license data we hold may be shared only in these circumstances:

• Service providers: Payment processors (for subscription billing) and email delivery services (for transactional emails) — only the minimum data required.
• Legal compliance: If required by law, court order, or government regulation.
• Business transfers: In the event of a merger, acquisition, or asset sale, account data may be transferred as part of the transaction — with the same privacy protections.

We do not share, rent, or sell your data to advertising companies, data brokers, or analytics providers.

6. WhatsApp Integration

ClassoNix includes a WhatsApp fee reminder feature that allows you to send pre-filled messages to parents about outstanding fees. This feature works as follows:

• The application generates a message with the student's name, fee amount, and due date from your local data.
• When you click send, the message opens in WhatsApp Web or WhatsApp Desktop on your computer — ready for you to review and send manually.
• No WhatsApp API is used. We do not send messages on your behalf. You remain in full control of every message sent.
• No student or parent contact information is sent to us. The message is generated locally and sent directly through your own WhatsApp account.

WhatsApp message limits apply per plan (500/month for Starter, 1,500/month for Pro, 3,000/month for Elite). These are usage limits within the application, not data-sharing limits.

Your use of WhatsApp is also subject to WhatsApp's own Terms of Service and Privacy Policy. We encourage you to obtain consent from parents before sending them WhatsApp messages.

7. Your Rights

Since your school's operational data is stored locally on your device, you have full control over it at all times. You can export, modify, or delete it directly within the application.

For the limited account data we hold (name, email, license details), you have the following rights:

• Access: You can request a copy of the account data we hold about you.
• Correction: You can request that we correct inaccurate or incomplete information.
• Deletion: You can request that we delete your account data when you cancel your subscription.
• Opt-out: You can unsubscribe from marketing emails at any time using the unsubscribe link in each email.

8. Data Retention

Your school's operational data remains on your device for as long as you use the application. If you uninstall ClassoNix, the local database remains on your device unless you manually delete it.

For the limited account data we hold:

• Account and license data is retained for as long as your subscription is active.
• After subscription cancellation or expiration, account data is retained for 90 days for potential reactivation, then permanently deleted.
• Communication records (support tickets, emails) are retained for 2 years for quality and legal purposes.

9. Children's Privacy

ClassoNix is a school management tool designed for use by school administrators, principals, and staff — not by students or children directly.

While student information (names, attendance, fee records) is stored within the application, this data is entered and managed by authorized adult staff members. Students do not create accounts, log in, or interact with the application directly.

If you believe that student data has been improperly handled, please contact the school administration, as they are the data controller for all student records stored in their local ClassoNix installation.

10. Cookies

The ClassoNix desktop application does not use cookies. As a desktop application, it does not run in a browser environment.

Our marketing website (classonix.app) may use essential cookies for basic functionality. No tracking or advertising cookies are used. If we add cookies in the future, we will update this policy and provide appropriate notice.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or the features of ClassoNix. When we make changes, we will:

• Update the "Last updated" date at the top of this page
• Notify you of significant changes via email or within the application
• Provide a summary of what changed
